Project Overview

The Duke of Edinburgh’s Award, a UK charity supporting hundreds of thousands of young people each year, had outgrown its existing finance systems. With over 3,000 licensed organisations subscribing across multiple membership levels, the charity needed a solution capable of handling complex billing and accounting requirements — including partial VAT, deferred income and invoice amortisation — while replacing a mix of spreadsheets, separate tools and manual processes.

Working with Transparity, the charity implemented Microsoft Dynamics 365 Business Central as a unified, cloud-based platform for finance and membership management. Automated billing, an expenses app for 250+ employees and volunteers, and seamless integration with existing Dynamics CRM systems now give the organisation a single, centralised view of its financial and membership data.

The Challenge

The Duke of Edinburgh’s Award had outgrown its existing finance systems, which relied on a mix of spreadsheets, separate tools and manual processes. This created inefficiencies and limited visibility across financial and membership data.

With over 3,000 licensed organisations subscribing to different membership levels, the charity needed a system capable of handling complex billing and accounting requirements. This included managing partial VAT, deferred income and invoice amortisation.

The Solution

The Duke of Edinburgh’s Award implemented Microsoft Dynamics 365 Business Central with support from Transparity, creating a unified, cloud-based platform for finance and membership management.

The solution goes beyond core financial functionality, incorporating tools for managing memberships and an expenses app for employees and volunteers. Automated processes now handle billing cycles, VAT calculations and compliance requirements, reducing manual effort and improving accuracy.

Transparity worked closely with the charity to ensure the solution met its specific requirements while staying within budget constraints. The platform integrates seamlessly with existing Microsoft tools, supporting a familiar and intuitive user experience.

The Outcome

The organisation now benefits from a single, centralised system for managing finance and membership data. Around 30 users actively work within Business Central, with over 250 employees using the expenses app.

Training and adoption were quick due to the familiar Microsoft interface. The move to a cloud-based solution has also reduced reliance on paper-based processes, contributing to improved sustainability.

The platform enables better integration with existing Dynamics CRM systems, allowing the organisation to combine financial and customer data for deeper insights and improved decision making.

Company Overview
The Duke of Edinburgh’s Award is a UK charity that works with organisations to support young people aged 14–24 in developing skills, confidence and resilience. Through partnerships with schools, colleges, youth groups and other organisations, the programme helps hundreds of thousands of young people each year.

Since its launch in 1956, millions have taken part in the programme, completing activities across volunteering, physical, skills and expedition sections, with an additional residential element at Gold level.
